Manually moving email

Manually moving email between accounts

The College of Pharmacy is switching to the main campus UAConnect system for email, Teams, Sharepoint and OneDrive services.

Current faculty and staff will have their data migrated with software tools we have licensed; all others (students, alumni, anyone else with a pharmacy email account) will need to manually move their email, calendar and contact information to a different account if they wish to save it.

Email:

The simplest way to do this is to add both the COP account and the account you wish to move  it to in an email client like Outlook  (Mac and Windows) Mac Mail,  or WIndows Mail. These are different from the web-based clients like Outlook on the Web or Gmail.

All of these support adding Exchange O365 and Google(Catmail) accounts easily. We have directions for setting up the COP account in several clients here: https://technology.pharmacy.arizona.edu/get-support/o365-email This is the UA's instructions for adding a Catmail or Google account to Outlook. Other mail clients explicitly offer a Google account  option.

Once the accounts are set up in the application you choose, you can simply drag email or email folders from one account to the other, or right-click on the emails ad select 'Move' to move them to the appropriate folders.

Other methods are covered in this Microsoft article for email, contacts and calendar https://support.microsoft.com/en-us/office/import-and-export-outlook-ema... this covers exporting email from Windows and Mac versions of outlook, and contacts and calendar info from from Windows and Mac versions of outlook, and Outlook on the web.

Contacts

All of the email/calendar/contact clients that support O365 (Outlook, Mac Mail/Calendar/Contacts, Windows Mail/Calendar/Contacts) have ways to export contact and calendar data in forms that can be imported into other systems. You should follow the help guidance for the system you are using.

Calendar data

Windows: The account must be set up  in Outlook. Click on the calendar view, then select the calendar you want to export and select 'Save' from the file menu. Set 'Save As Type' to iCalendar, then click on 'More Options' Set Date Range to 'Whole Calendar' and Detail to 'Full Details'. Your calendar will be exported as a standard .ics calendar file and can be imported into other accounts, such as Google mail.

Mac: The Mac version of Outlook has no real export functions, so you will need to add the account in Internet Accounts in System Preferences. See: https://technology.pharmacy.arizona.edu/get-support/o365-email/mac-mail-...  Once set up, open the Calendar app, select the calendar you wish to export in the list then select File > Export >Export This wll save your calendar as astandard .ics calendar file which can be imported into other systems.
